Company Details

Company Details

The Company record holds your business's identity inside ERPNext — name, legal details, tax IDs, branding. Most of it is filled during the Setup Wizard; this page is about what's there and when to update it.

Where to find it

Company → [your company name] opens the record.

Key fields

Field What
Company Name Legal name — appears on invoices, contracts
Abbr 2-4 character abbreviation — used in document naming (e.g., "PRILK-INV-0001")
Country Drives default tax setup
Default Currency Your reporting currency (EUR for NL businesses)
Tax ID (BTW) Your BTW number — on invoices
KvK Number Chamber of Commerce number — required on Dutch invoices
Email Default email for outbound communications
Phone, Fax, Website Appears on Letter Heads and invoices

Address

The Company has one or more Addresses — set the Primary Billing Address used on all outbound invoices. If you have multiple establishments, add each as an Address.

Default accounts

The Setup Wizard configures these from the chart of accounts:

Setting Account it points to
Default Cash Account Your main cash account
Default Receivable Account Debiteuren
Default Payable Account Crediteuren
Default Income Account Sales
Default Expense Account Operating Expenses (catch-all)
Default Stock Account Stock In Hand
Round-Off Account For rounding differences in invoices

You can change these later if you restructure your chart of accounts.

Multiple companies

For group structures, holding companies, or separate legal entities, create additional Company records via Company → New. Each company has:

  • Its own books (Chart of Accounts, GL Entries)
  • Its own users with company-scoped permissions
  • Its own letter head and branding

Inter-company transactions (selling between your own companies) are handled by enabling Inter-Company Account on each Company.

Updating after creation

Most fields are safe to update mid-year:

  • Name, address, contact info, banking details — change freely
  • Tax IDs — update on change (e.g., BTW number rotation)
  • Default accounts — change with care, may affect future postings
  • Country / Currency — generally don't change after data exists

Logo and branding

Upload your Default Letter Head which appears on every invoice, quotation, and report PDF. To use different letterheads for different document types or languages, create additional Letter Head records and assign them per Print Format.

Disabling a company

If you stop operating an entity, set Disabled = Yes. Existing records stay; no new transactions allowed.

Cost Centers

A Company can be structured into Cost Centers — departments, projects, branches. Set a default Cost Center on the Company; per-transaction overrides cascade down for granular reporting. See your accountant if you want departmental P&Ls.
