Frequently Asked Questions

What does an ERPNext implementation cost in the Netherlands?
ERPNext itself has zero per-user licence fees — it's open source (GPL), so you can add users, modules and entities without the seat costs that Odoo Enterprise or SAP charge. You pay for implementation, scoped and quoted after a discovery workshop, plus optional hosting and support. For a typical SME the implementation lands between €15K and €50K, delivered in 8–16 weeks, depending on how many modules and integrations you need (PEPPOL e-invoicing, SEPA, bank reconciliation, and so on). There are no ongoing licence fees and no per-user upsells — your only recurring costs are the hosting and the support contract you choose, both optional and quoted up front. After discovery you get a fixed figure, not a range, so there are no surprises on the final invoice.
How long does ERPNext implementation take?
Typical ERPNext projects take 8–16 weeks from kickoff to go-live. We work in two-week sprints, so you see and sign off on working features throughout — not just at the end — which keeps scope honest and surprises small. A focused single-entity setup (Accounting, Sales and the Dutch essentials like BTW, RGS and PEPPOL) can go live at the faster end; multi-site or multi-company deployments, heavy data migration, or deep SAP and Workato integrations push toward the longer end or run in phases. We fix the timeline during discovery, before you commit, and if we miss a date because we scoped it wrong rather than because requirements changed, that's on us. You'll always know which sprint a given feature is landing in.
Where will our ERPNext data be hosted?
You choose. Most clients use European managed cloud hosting in Germany or the Netherlands; you can also run ERPNext in your own private cloud or on-premises at your site. Every option is GDPR-compliant and keeps your data inside the EU — no transfer to US-controlled infrastructure unless you specifically ask for it. We recommend managed cloud for most SMEs because we handle monitoring, security patches and daily backups, but you keep full data ownership wherever it lives: ERPNext stores everything in standard SQL and exports on demand. If you're in a regulated sector with data-residency rules, we map the hosting to those requirements during discovery. You can also migrate between hosting options later — the open-source stack means you're never locked to one provider, including us.
Is ERPNext a good alternative to Odoo?
Yes, ERPNext is an excellent Odoo alternative — and for many SMEs a cheaper one over time. Like Odoo Community it's open source, but unlike Odoo Enterprise it includes every module — Accounting, Manufacturing, CRM, HR, Stock — with no paid tiers and no per-user licence. You own the code, pay €0 in licence fees, and can modify anything without a vendor's permission. On the Dutch side, ERPNext covers BTW, the RGS chart of accounts, PEPPOL BIS 3.0 e-invoicing, SEPA and iDEAL natively, so localisation isn't an upsell either. Odoo can be the right call for some workflows, and we'll say so if it is — but if you're weighing the two mainly on total cost of ownership and freedom from lock-in, ERPNext usually wins. We've written a detailed ERPNext vs Odoo comparison if you want the full breakdown.
Why choose Prilk as your ERPNext partner in the Netherlands?
Prilk is the only official Frappe partner in the Netherlands — a certified Bronze Partner since December 2022 — so you work directly with an accredited team, not a reseller passing you down a chain. We're based in Utrecht and combine certified ERPNext expertise with deep knowledge of Dutch business requirements: BTW handling, the RGS chart of accounts, PEPPOL BIS 3.0 e-invoicing, SEPA and iDEAL payments, XAF audit files, and integration with Dutch banking for reconciliation. Everything we build ships to your own GitHub from day one, under GDPR-compliant EU hosting, so you're never locked in. We'd rather earn the next phase of work than trap you in it — which is why our engagements end with a written handover, not a dependency on us.
Can we see an ERPNext demo before committing?
Absolutely. We run personalised demos where you explore ERPNext against your own scenarios — your products, your invoicing, your reporting — rather than a generic sales script. We'll also stand up a sandbox environment so your team can experiment freely: enter real data, try the BTW and PEPPOL flows, and test the modules you actually care about, all before you commit to anything. The discovery workshop that follows turns what you've seen into a fixed scope and a fixed quote, so the demo isn't a black box — it's the first concrete step toward a costed plan. There's no charge and no obligation for the demo, and you keep whatever notes and process maps come out of it. Book a 30-minute call and we'll tailor the session to your business.
What if we want to leave or switch ERP providers later?
Your data is yours — always. ERPNext stores everything in standard, exportable formats (SQL, CSV, PDF), so you can take a full copy whenever you want, and because the platform is open source under the GPL, any qualified developer or certified Frappe partner can maintain it after us. There's no proprietary database, no encrypted lock-box, and no per-user licence holding your system hostage. At the end of every engagement we hand over a written transition document covering the architecture, every customisation and the integrations, plus access to the code in your own GitHub. We host inside the EU under GDPR, so a clean backup is always one request away. We believe in earning your continued business with good work — not trapping you with switching costs.
Do you provide ongoing ERPNext support after go-live?
Yes. We offer managed support contracts covering system monitoring, security and framework updates, daily backups, and priority response — plus ERPNext version upgrades, so you stay on a supported release with the latest features instead of drifting onto an old one. Scope and price are set to your environment: a single-entity cloud setup needs less than a multi-company deployment with custom integrations, so we quote support to match rather than charging a flat tier. Support also covers the Dutch-specific pieces we implement — BTW, RGS, PEPPOL e-invoicing, SEPA — when rules or formats change. If you'd rather run it in-house, that's fine too: because everything is open source and lives in your GitHub, you're free to take maintenance internal at any point, and we can train your team to do it.
Do you work with companies outside the Netherlands?
Yes. We're based in Utrecht, but we work with clients across Europe — Belgium, Germany, the UK and beyond — and most delivery is remote, with periodic on-site workshops for kickoff, training and go-live when they add value. Because ERPNext is multi-company and multi-currency out of the box, we regularly set up groups with a Dutch entity alongside operations in other countries, each with its own tax rules, chart of accounts and reporting. Our Dutch localisation expertise (BTW, RGS, PEPPOL, SEPA) is a differentiator rather than a limit — if you have a Netherlands entity in the mix, you get that depth; if you don't, you still get a certified Frappe partner running an EU-hosted, GDPR-compliant implementation. Time-zone overlap across Europe makes remote collaboration straightforward.
What if ERPNext isn't the right fit for our business?
We'll tell you honestly. During discovery, if we conclude another solution would serve you better — a different ERP, a lighter tool, or simply staying on what you have for now — we'll say so before you've spent money on an implementation. ERPNext is a strong fit for product, services, manufacturing and distribution SMEs that want open source and no licence fees, but it isn't the right answer for every edge case, and pretending otherwise would cost us our reputation as the country's official Frappe partner. We'd rather lose a project than sell you a bad fit and inherit the fallout. If we do flag a mismatch, we'll explain why and, where we can, point you toward something that fits — no hard feelings and no invoice for the honesty.
